Cathedral Sacramental Data Keeper and Registrator
Last Updated: June 2026
Welcome to Cathedral Sacramental Data Keeper and Registrator ("Platform", "Application", "Service", "we", "our", or "us"). This Privacy Policy explains how we collect, use, store, protect, and disclose information when you use our application and related services.
The Platform is designed to assist churches, parishes, dioceses, priests, administrators, and authorized personnel in managing sacramental records, certificates, member information, reporting, analytics, and administrative operations. By using the Platform, you acknowledge and agree to the practices described in this Privacy Policy.
Personal Information may include full name, date of birth, gender, email address, phone number, residential address, parish affiliation, family relationships, parent information, grandparent information, guardian information, emergency contact information, identification documents, and profile photos.
Sacramental Information may include baptism records, confirmation records, marriage records, funeral records, membership records, contribution records, certificate issuance records, parish administrative records, and other church-related records managed through the Platform.
Uploaded Files and Documents may include PDF documents, images, scanned church records, certificates, forms, historical archives, and other supporting documents. Uploaded documents may be processed using Artificial Intelligence (AI) technologies to assist in extracting information and preparing records for review by authorized church personnel.
When signing in with Apple or Google Sign-In, we receive limited information such as name, email address, and a unique account identifier. We do not receive your Apple or Google password.
The Platform includes AI-powered analytics and reporting features. AI may analyze uploaded documents, extract information, generate summaries, generate reports, create charts and dashboards, detect anomalies, answer authorized analytical queries, and provide operational recommendations.
AI does not modify sacramental records, delete records, approve certificates, issue certificates, change historical data, override church authority, or perform canonical decisions. All sacramental records remain under the control of authorized church personnel, and any AI-generated recommendation is advisory only.
The Platform may generate certificates containing QR codes. When scanned, the user may be redirected to a validation website that may display certificate verification information. Only information necessary to verify authenticity will be displayed.
We use information to maintain sacramental records, manage parish administration, generate certificates, verify certificate authenticity, provide analytics and reporting, improve system functionality, synchronize records across devices, maintain audit logs, prevent fraud and unauthorized activity, and comply with church governance requirements.
Information may be stored using local device storage, secure cloud databases, Firestore services, and synchronization technologies. Data may be synchronized between devices and cloud systems to ensure consistency and availability.
The Platform supports offline operation for certain features. Information may remain temporarily stored on a device while offline and will synchronize when connectivity becomes available.
Access to information is restricted according to user roles such as Priest, Parish Manager, Treasurer, Diocesan Administrator, Audit Personnel, and other authorized church staff. Unauthorized access attempts may be logged and investigated.
For security, compliance, and accountability purposes, the Platform maintains audit records that may include user identity, login events, certificate issuance, record creation, record modifications, administrative actions, timestamps, and device information.
Church records may be retained for extended periods due to religious, historical, legal, and administrative requirements. Some sacramental records may be preserved permanently, based on applicable church authority, parish, diocese, or governing organization.
Users may request account deletion where permitted. Certain records may not be deleted when required by church policies, legal compliance, audit purposes, or preservation of sacramental history.
We do not sell personal information. We may share information only with authorized church entities, parish administrators, diocesan authorities, approved service providers supporting the Platform, when required by law, or to protect rights, security, and integrity of the Platform.
We implement reasonable administrative, technical, and organizational safeguards including authentication controls, role-based access controls, encrypted communications, secure cloud infrastructure, audit logging, backup procedures, and access monitoring. However, no system can guarantee absolute security.
Because sacramental records often involve minors, the Platform may process information relating to children under the direction of authorized parents, guardians, churches, or religious authorities. Such information is handled with additional care and access restrictions.
Information may be processed and stored in countries where our service providers operate. By using the Platform, you acknowledge that information may be transferred and processed across jurisdictions.
Depending on applicable laws, users may have rights to access personal information, request correction, request deletion where permitted, request information about processing activities, and receive copies of certain data, subject to religious, legal, archival, audit, and administrative obligations.
We may update this Privacy Policy periodically. The updated version will be posted within the Platform and will become effective upon publication.
